SOOL Psychology - Privacy Notice

 

This notice explains how Dr Jo Holmberg, trading as SOOL Psychology (“I”, “me”), collects and uses your personal information when providing psychological therapy, and your rights under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Information I collect

• Identity and contact details: name, date of birth, email, telephone and home address (for invoicing and financial records). For a client under 18, also parent/guardian details and an emergency contact.

• Health and therapy information: the reasons you seek therapy and the notes I make during our work. This is “special category” data and is treated with particular care.

 

Why I use it, and my lawful basis

• To provide and administer therapy and to keep clinical records. Lawful basis for general personal data: performance of a contract (Art 6(1)(b)) and, where relevant, your consent (Art 6(1)(a)).

• For health (special category) data: the provision of health care by a professional bound by a duty of confidentiality (Art 9(2)(h)) and/or your explicit consent (Art 9(2)(a)).

 

Confidentiality and sharing

I keep your information confidential and do not share it, except: with your consent; where I am seriously concerned about a risk of harm to you or another person, or must act to safeguard a child or vulnerable adult; or where I am required to by law. Where it is safe and appropriate, I will discuss any disclosure with you first.

 

How I store and protect it

Records are held securely, password-protected, and access is limited to me.  Online sessions are held on Zoom, which uses encryption.

 

How long I keep it

In line with recommendations by the British Psychological Society (BPS), I keep records for 7 years after our last contact. For clients seen while under 18, records are kept until the client's 25th birthday, or their 26th birthday if they were 17 when therapy ended.

 

Your rights

You have the right to: access your information; have it corrected; have it erased (subject to my legal and professional duty to retain clinical records); restrict or object to processing; data portability; and to withdraw consent at any time. To exercise any of these, contact me at [email].
